PHD ADMINISTRATION 

HST's administrative team handles all of the department's PhD administration services ranging from enrollment to handing in the PhD thesis and organizing defenses (practical matters in connection with the review committee and organizing of celebration reception).

The Doctoral School in Medicine, Biomedical Science and Technology at Aalborg University offers several possibilities for cooperation at different levels. Aalborg University has a strong tradition for industrial collaboration, and the doctoral school strongly supports this. The daily management of the Doctoral School is undertaken by the PhD Study Director Professor Pascal Madeleine. The doctoral school currently has more than 210 enrolled PhD students.

    Enrollment forms

    Please visit The Doctoral School in Medicine, Biomedical Science and Technology for information about enrollment form and other administrative matters. Enrollment forms must be filled in by the supervisor. Karina Stendahl Jensen, HST Research SupportTeam, will submit the form to the Doctoral School in cooperation with the supervisor.

    Evita - Electronic Viewer of Internal Teaching Activities

    You can view the number of teaching hours you have delivered in HST Local (click the tab “EVITA” in the top left corner). Access to this module requires that you have either delivered teaching or that teaching is compulsory according to your employment contract. EVITA will be regularly updated by Vita Kammersgaard.

    Program Phd Courses

    The program courses for The Doctoral School in Medicine are planned during the spring/early summer each year.

    The courses offered will be displayed on Moodle at the beginning of the fall. Please note that the registration opens four months in advance of a course.

    Short Info on Salary, "Taxameter", Disposable Amount and Budget

    The following guidelines apply to all PhD students who are fully financed either by the Faculty of Medicine, by Department of Health Science and Technology, by external funds, by special programmes at AAU, or in co-operation between these.

    If the PhD study is not fully funded, the conditions must be individually agreed between the PhD student, the supervisor, and the department.

    All amounts mentioned are excl. VAT. 

    SALARY

    The salary is regulated according to the agreement between the Danish Confederation of Professional Associations (AC) and the Ministry of Finance.

    OTHER COSTS (“TAXAMETER”)

    These costs are covered through the so-called "taxameter", which is part of the grant for a PhD position. The standard cost of “taxameter” is DKK 80,000 per year – a total of DKK 240,000 over three years.

    This covers costs for, e.g., supervision, general and programme courses, technical and administrative service, office and laboratory costs, and costs related to the PhD defence.

    From the “taxameter”, an amount of DKK 13.500  per year (a total of DKK 40,500) is allocated as disposable amount ("rådighedsbeløb") to the PhD student.

    In addition to this, DKK 2,500 per year (a total of DKK 7,500) are allocated to printing of the PhD thesis. If the cost of printing the PhD thesis is higher than DKK 7,500, the difference must be settled from the "rådighedsbeløb" or by the supervisor.

    "RÅDIGHEDSBELØB"/ DISPOSABLE AMOUNT

    The full "rådighedsbeløb" for three years is DKK 55,500 and must cover all other costs related to the PhD project, e.g., participation in conferences, purchase of books, materials, IT equipment, and other equipment.

    When the thesis has been defended, the account is closed for any further transactions.

    All costs in excess of DKK 2,000 for a single purchase of services or commodities must be approved by the supervisor.

    All purchases must be registered in HST Local in order to be approved and deducted from your "rådighedsbeløb". The "rådighedsbeløb" is administered by the HST Department Economy Team. Anytime you need a balance of your account, you are welcome to ask for a status of your "rådighedsbeløb" account by contacting the HST Department Economy Team.  

    Aalborg University’s general rules for ordering services and commodities must be observed in all cases. 

    BUDGET

    It is strongly recommended that the PhD student and the supervisor make a budget for the "rådighedsbeløb" no later than at the time of costs are to be paid for the first time.

    Especially, there should be a clear agreement between the PhD student and the supervisor if some type of costs should be covered from other sources than the "rådighedsbeløb". For example, experience shows that the costs related to performing experiments, e.g., paying subjects and travelling to laboratories outside Aalborg, can be quite substantial.

    Submission of PHD thesis

    All PhD students at HST must consult Susanne Lundis or Pia Lund approx. 6 months before planned submission of their PhD thesis.

    Teaching obligations

    According to HST’s PhD financing model, all PhD students who are co-financed by the department are obliged to teach. The number of hours that PhD students (those who are co-financed by HST) are obliged to deliver is 750 hours over a 3-year period, i.e., 125 hours per semester. In order to dispense with this, an agreement must be made between PhD student, supervisor and HST’s management.

    If PhD students are financed (100 %) by external funds, they are not obliged to teach. If such a PhD student chooses to do so, e.g., for career promoting reasons, please note that this will not generate economic compensation.
